Administration

We are looking for someone really special to join us as our Intake Coordinator and Referral Outreach Specialist!

About the Role:

This is a hybrid position based out of East Lansing, MI - you'll spend your first 30 days with us in person for training (in person 2 days per week and remote 3 days per week), and then transition to working fully remotely. You'll be the first point of contact for every person who reaches out to COR, which means you set the tone for their entire experience with us. That's a big deal, and we don't take it lightly!

Here's the thing about this role - the person we're looking for understands that when someone reaches out to a mental health practice, they've taken a courageous and often vulnerable step. Your job is to meet them with warmth and get them connected to care as quickly as possible. You thrive in a fast-paced environment, you're highly organized, and you don't let things slip. You can hold both urgency and compassion at the same time - and that balance comes naturally to you.

In addition to managing our intake process, you'll use your downtime to build and nurture relationships with referral partners in the community - connecting with potential partners by phone and virtually to help more people find their way to COR.

What You'll Be Doing:

Intake coordination (primary focus):

  • Being the warm, welcoming first voice people hear when they reach out to COR - by phone, text, and email

  • Responding to all new inquiries as quickly as possible - we never want someone in need to wait

  • Guiding new clients through the intake process from first contact to scheduled intake appointment with both speed and compassion

  • Matching clients with the right therapist fit and scheduling intake appointments

  • Following up consistently and persistently with inquiries using a standardized outreach protocol (calls, texts, emails)

  • Opening new client charts and managing data entry with accuracy and care

  • Collaborating with our therapists to support caseload building and a smooth intake experience for everyone

Referral outreach (secondary focus):

  • Building and maintaining relationships with current and potential referral partners through phone and virtual outreach

  • Conducting warm and cold outreach to potential referral sources in the community

  • Following up consistently with referral partners to nurture ongoing relationships

  • Contributing to marketing-related projects as assigned

Team Participation:

  • Attending monthly all-staff meetings

  • Participating in regular supervision meetings with your direct supervisor

  • Other duties as assigned - we're a small, collaborative team and everyone pitches in!

Who We’re Looking For:

  • Associates degree or higher in Human Services, Psychology, Healthcare Administration, Communications, Marketing, Business, or a related field - or equivalent experience in a similar role

  • A minimum of 1–2 years of administrative or customer-facing experience, preferably in a healthcare or mental health setting

  • The ability to hold urgency and compassion at the same time - you move quickly because you care, not in spite of it

  • Genuinely warm and compassionate communication style - both written and verbal

  • Strong organizational skills with the ability to manage multiple open cases simultaneously without anything falling through the cracks

  • A natural ability to prioritize, follow through, and pay close attention to detail

  • Experience in sales, outreach, or relationship-based marketing - you're comfortable picking up the phone and building rapport with people you've never met

  • Comfort with phone-based outreach and virtual relationship building

  • Experience navigating multiple tech platforms; EHR experience preferred (we use Therapy Notes)

  • A heart for mental health and a genuine understanding of why this work matters

  • Strong customer service skills and the ability to adapt as things change

  • Reliable transportation for the initial in-person training period in East Lansing

  • Ability to thrive in a fast-paced environment where no two days are exactly the same
